BEFORE THE BOOKING
- Which act do I choose?......there are so many.
The quickest and easiest way is to use the orange “Find an act quickly” search area on the right hand side of this page. Once you have filled your details in you will be given a list of available acts within your budget that are suitable to the style you are looking for. From this list you will be able to view each acts profile, listen to their audio demo, view their video, read their set lists and previous client feedback. Based on this you can send an enquiry about an individual act or add several of the acts you like to “Your favourites” list which will display on the right hand side of our web site page. The fees displayed are all inclusive.

- Can I see an act at a live performance before booking them?
This isn’t normally possible as the majority of our acts only play at private wedding and corporate events. However, it is always worth e-mailing us to check as occasionally they do organise show case events or public performances.
- I’m worried about booking an act that I haven’t seen playing live.
We totally understand your concerns about booking an artist that you have not seen perform, particularly when it involves the most important day of your life and where there is a significant cost involved. However, here are 4 reasons to help put your mind at ease.

- Can I provisionally book an act?
Yes. Once you confirm that you are definitely interested in booking an act we can hold the date for 5 days. If another enquiry comes in for the act on the same date you will be alerted and given first refusal
- Are all the prices quoted all inclusive?
Yes. If you have completed the orange “Find an act quickly” search area on our web site all of the prices you see listed for the remainder of your visit will be all inclusive. This includes the acts fees, the agency charges, any VAT, travel expenses and accommodation expenses where the travel distance is over 120 miles. Any extra charges for additional services (eg. Early set up, extra playing times, late finishes etc.) are clearly listed under “Extra information” on the acts profile page.

It’s natural to shop around to get the best deal available, particularly when money is tight in the current global recession. We are confident that we offer the best value for money as compared with any of our competitors.
We guarantee that if you can find any of our artists listed on other web sites for cheaper than we have quoted, we will match that price.- How do you apply your charges for travel expenses?
We do not charge any travel expenses for the acts first 50 miles of travel. After the first 50 miles we add £1.9 per mile thereafter. eg. If the distance between your venue and the acts base is 80 miles we will add £57 (30 miles x £1.9) in travel expenses.
Please note that if you have filled in "Find an act quickly" (event date, venue post code etc.) and received an all inclusive quote this fee WILL include all travel expenses.
- What happens if a band member is ill on the day of my function?
Under the terms and conditions that our acts sign in order for us to represent them, they must be able to provide "deps" or substitutes if anyone one of the act members are ill.
- What happens if the act I book cancels?
It is extremely rare that an act will need to cancel an event, primarily because they do not want to let their clients or Gigz management down but also because they will want to get paid. However, if this does occur for reasons falling outside of ‘Force Majeure’ then the artist would be in breach of the contract and you would have claim to compensation. If the act has cancelled for reasons within ‘Force Majeure’ then their liability is negated.
One of the benefits of booking with a reputable agency is that if a cancellation does occur you can rest assured that with our extensive contacts we can almost certainly find an excellent replacement.
- What happens if I need to cancel?
Although it is rare unfortunately customers sometimes have to cancel a booking. Because the members of the act have blocked this date off in their work diary they no longer actively look for work on that date. Quite often, particularly on the busy summer weekends, the act members turn down well paid work down on the strength of the booking and it is therefore only fair that they are compensated for any loss of earning because of a cancellation.
Here are our cancellation terms as detailed in our terms and conditions
If you cancel a booking the following cancellation fees will apply:- The Deposit is non-refundable.
- Where cancellation is made within 90 and 61 days prior to the Event 50% of the Total Fee will be payable by you.
- Where cancellation occurs between 60 days and 30 days before the Event 75% of the Total Fee will be payable by you.
- Where cancellation occurs within 30 days of the Event, 100% of the Total Fee will be payable by you.
THE BOOKING PROCESS
- Can we speak to the act directly when we’ve booked?
Once you have completed your online information form and discussed it through with your event manager should you have any further questions you would like to discuss directly with the act we are happy to get them to contact you directly.
- How/where do we add the finer details for our event?
Booking an act with us is just the beginning. To make sure that your event runs as smoothly as possible on the day;
- We send you a secure online information form. This page can be saved on your computer and accessed and updated as often as you like. ( e-mail us to see an example of the client information form )
- Your event manager will be in touch by e-mail and phone regularly throughout the build up to your event.
- We can arrange for the act to call you should you want to discuss things with them directly.
- We also like to liaise with your event coordinator or venue manager to ensure they are happy with all the logistics.
- You will be given a contact mobile number for your Gigz event manager should you need to contact them on the day of your event.
- Will I receive a contract?
Absolutely. All our bookings are Safe & secure with comprehensive contracts for your peace of mind.
- How do I actually book the act I have chosen?
Once you have received our quote and are happy to go ahead with the booking you can either confirm it over the phone or send us an e-mail. We will then e-mail you the booking contract and terms and conditions for you to print off, sign and return to us. A 30% deposit payment is due 7 days from the confirmation date and can be paid by online transfer or by cheque. The balance payment is due on the day of the performance.

ACT/VENUE REQUIREMENTS
- Does the act need a stage?
A raised stage helps to add a focal point and make a bigger impact but is not essential. As long as you can provide a level performance area that meets their minimum space requirement, this is enough.
- How much power will the act need?
Bands
Generally our bands will need access to 2 separate 13amp sockets. They will not use more than 4000 Watts (4K) of power (including lighting)DJs

- How much space will the act need?
Bands
The exact requirements for each act will be listed under “extra information” on their profile page. As a guide, a 4-piece band will usually need a stage space measuring approximately 4 metres wide and 3 metres deep. For a bigger bands allow an extra metre of width per additional act member. Bear in mind that these are the ideal size requirements and that bands can play in smaller areas.DJs

Yes. The prices quoted include the artists supplying all musical equipment as well as a PA and lighting system (excluding quartets).You will find an exact description of what the act provides on their profile page. Any extra charges for additional services (eg. Smoke machines, extra lighting etc.) are clearly listed under “Extra information”.
- We have to provide the act “rider” what does this mean?
Most acts booked for evening events will have a rider, as detailed in out terms and conditions. This will usually consist of a hot meal, refreshments, adequate free parking and changing room facilities.

Food
With travelling to the venue, set up time, performance time, pack down and the return journey, our acts are generally on the go for a minimum of 10 hours on the day of the performance. For this reason a hot meal is requested for each member of the booked act before the performance. Alternatively you can allocate £10 per act member in cash on the day to allow them to eat in a local pub. It is best that the band eat just after they set up and before they play their first set. The band should also be provided with water or soft drinks while they are at your venue. Although you do not have to provide alcoholic drinks for our acts…..they appreciate it when you do!

Changing rooms
All bands and DJs booked for evening performances need a private room where they can eat, change and prepare for the performance.
- Parking: All bands and DJs booked for evening performances need an area as close to the stage/performance area as possible to unload all their equipment as well as free local parking.
Most classical acts, including string quartets, classical guitarists and harpists will need armless chairs in a well-lit area (so they can read their music), adequate shelter from the sun/wind/rain if playing outside. Some DJs may need a small table.

Food
- Can your acts provide PLI and/or PAT certificates for our venue?
Yes. All of our acts have or can obtain PLI (public liability Insurance) and PAT (Portable Appliance Testing) certificates should your venue insist on them. It is best to give us at least 2 months notice to ensure we can get the certificates over to the venue in plenty of time.
- There are noise restrictions at my venue. Will a band still be able to play?
A lot of venues in the UK have to use limiters in order to maintain their entertainment license and on the whole it is not a problem for bands to play within these limits without affecting the performance. At the initial venue meeting we advise clients to find out firstly if the venue regularly has bands playing there and secondly, what the limiter setting are. We are happy to contact the venue to make sure the band you have chosen is suitable to play there. All of our bands and DJs are used to working with limiters and unless the limiter is set at below 95 decibels it is not a problem. If your venue has a limiter it is generally best to limit the size of the band to a 4 or 5 piece.
ARRIVING AND SETTING UP// THE PERFORMANCE DETAILS
- Can I choose the band/DJs/Quartets play list for the evening?
We always like to emphasise that the acts are the experts at choosing and structuring the play list to make sure they create the right atmosphere; in the case of a party band for example, to get guests of all ages up dancing for the whole of the performance. We also appreciate that you and your guests will have certain favourite songs that you will want to hear on the day.
Bands, soloists, duos and quartets:
For bands, soloists, duos and quartets we advise that you compile a list of about 10 of your favourite songs from the acts set list/repertoire that you would like played (these songs will act as a guide to the act but will not guarantee that every song is played). The act will then work their magic formula around your favourites list.
DJs
Our DJs are happy to tailor the playlist around both your and your guests requests. You can add a full requests list to your on line information form and update whenever you wish. As well as the regular updates from your Gigz event manager, the DJ will call you the week before your event to discuss your requirements in more detail and to answer any of your questions. They are all happy to take requests on the night.
- Will the band perform my First Dance or take requests?
Most of our acts are happy to learn one new song (such as a first dance) for no extra charge, subject to song not being to obscure, it suiting the bands style/vocals and them being given enough notice to learn it (ideally 3 months notice).
- What happens when the band aren't playing?
There are 4 options for when the band take a break.

All of our bands can provide upbeat iPod/CD playlists to play during their breaks. The main advantage of this is that it’s free and you do not have to organise the playlist. The main disadvantages are that the playlist is not tailored to your requests, they can’t take request on the night and the songs are not mixed together.

You can put together an iPod playlist that has more meaning to you and your guests and play it through the bands PA system. They are happy to manage this during their breaks and will provide the connecting leads.

Laptop DJ service provided by the band. Some bands provide a free DJ service in between their breaks. A band member will use the latest virtual DJ software, and mix songs in the same way as a normal DJ. They can take a limited number of requests for well-known songs. If they act you are interested in offers this service it will be displayed in the “Extra information” section on their profile page.
- A professional DJ. This is the most professional choice but also the most expensive. Our DJs are happy to tailor the playlist around both your and your guests requests. You can add a full requests list to your on line information form and update whenever you wish. As well as the regular updates from your Gigz event manager, the DJ will call you the week before your event to discuss your requirements in more detail and to answer any of your questions. - How many songs will the act play during their set?
Most acts play up to 30 songs in a two-hour performance, and up to 20 songs in a 90-minute performance.
- How long will the act’s interval(s) be?
Generally all our acts will take a break of between 15 and 30 minutes for each hour of playing. We advise that any longer than 30 minutes and it tends to interrupt the flow of the evening/music.
- How long will the act play for? Will this be long enough?
The playing times you add to your information for will act as a guide to the acts but they will be totally flexible on the day.
Bands:
Most bands will play for up to two hours, and this is usually divided into either two 60-minute or three 40-minute sets. Some bands offer to play an extra 30-minute live set for an additional chargeWe find that 2 hours of playing with a 20 to 30 minute break in between works well. During the break either the band or the clients can play some iPod/CD music through the bands PA system. A good playing time guide would be; 1st dance at 9pm followed by the bands 1st set. A break with iPod/CD music playing from 10pm to 10.30pm. 2nd set from 10.30pm to 11.30pm. iPod/CD music playing from 11.30 to 12am.
Tribute bands usually have shorter performances: two 45 or 50 minute sets.DJ
Our DJs will play straight through from 8pm until 12am and are happy to take requests or make any announcements you may have
Classical acts.
Classical acts
Our Classical acts can usually be booked for one hour (eg. a wedding ceremony), two hours (eg. a ceremony & drinks reception) or three hours (eg. a ceremony, reception and wedding breakfast) and will generally take a 15 minute break for each hour of playing.
- Can we borrow the act’s microphone on the day for speeches?
Yes, All of our acts are happy to lend you a microphone for your speeches or announcements. Bear in mind that most of the microphones will not be wireless so there will be some restrictions based on the length of the microphone cable (approximately 5 meters)
- What will the act wear?
This depends on the act’s style. If you have alook at the acts photographs on their profile page it will give you a good indication. If you have a specific dress code (such as black tie) that you would like the act to follow, let us know and we will arrange it.
- How long does it take them to set up?
As long as the unloading of their equipment is straightforward (and within 50 metres of where they can get their vehicles) most bands will only take an hour to an hour and a half to unload, set up and sound check.
Classical acts, smaller Jazz bands, soloists and duo’s will take less time.- When is the best time to get them to set up. What are my options?
Basically there are 3 options

The band can set up before the guests enter the arrive.
Advantages: The unloading, set up and sound check will not cause any disruption. The PA system will be available for speeches and recorded background music during the afternoon/evening.
Disadvantage: There will be an extra charge for an earlier set-up time. You can see how much this will be in the “extra information” section on the acts profile.

The band can set up after the wedding breakfast or celebratory meal has finished.
Advantages: There is usually a natural break at this point in the proceedings and most people won’t even notice a band setting up in the background. There is no extra charge.
Disadvantage: If things are running late, the band’s performance start will also be delayed. They will have to do a 10 minute sound check.

The band set up in an adjoining extension to the marquee/room or behind a curtained off area.
Advantage: There is no extra charge but the band will still be able to start in good time. The setting-up can be done quietly and relatively discretely.
Disadvantage: This may increase the cost of the marquee. They will have to do a 10 minute sound check.

- Can the act arrive earlier than 6.00 pm or finish after midnight?
Evening performance prices are based on the acts arriving at the venue for 6.00 pm (taking 1 to 1 1/2 hours to complete set up) and finishing their performance at midnight. Earlier set up completion and later finish times are usually possible but will incur an additional charge. These extra charges for additional services are clearly listed under “Extra information” on each acts profile page.
- When will the act arrive and when do they finish?
Evening performance prices are based on the acts arriving at the venue for 6.00 pm (taking 1 to 1 1/2 hours to complete set up) and finishing their performance at midnight.
Acts performing in the afternoon would usually arrive an hour before the start of their performance. They will then leave after completing their 1/2/3 hour performance.
